Privacy Policy

1. Overview

This Privacy Policy explains how InterviewOra ("InterviewOra", "we", "our", or "us") collects, uses, discloses, and safeguards information when you use our website at interviewora.com, our desktop applications for macOS and Windows, and any related services (collectively, the "Service"). The Service is a real-time AI interview assistant that helps candidates prepare for and perform during job interviews.

By using the Service, you agree to the collection and use of information in accordance with this Policy. If you do not agree, please do not use the Service. This Policy is incorporated into and forms part of our Terms of Service.

2. Data We Collect

We collect the following categories of information:

  • Account data: name, email address, password hash, and authentication tokens.
  • Billing data: payment method tokens, billing address, and transaction history. Card numbers are processed by our payment provider and never stored on our servers.
  • Profile data: resume, job descriptions, target roles, and any preferences you save.
  • Interview audio: short-lived audio captured during a live interview session for the sole purpose of generating real-time answers (see Section 4).
  • Interview transcripts: text generated from interview audio, retained briefly to power the in-session experience.
  • Usage data: pages viewed, features used, session duration, device type, operating system, browser, and approximate location derived from IP.
  • Support data: messages you send to our support team and any attachments you choose to share.

3. How We Use Data

  • Provide, operate, and maintain the Service, including real-time answer generation during interviews.
  • Authenticate users, prevent fraud, and secure accounts.
  • Process payments, issue refunds, and manage subscriptions.
  • Personalize answers using your resume and job description context.
  • Communicate with you about your account, billing, security alerts, and support.
  • Send service updates and, with your consent where required, marketing communications.
  • Improve product quality through aggregated, de-identified analytics.
  • Comply with legal obligations and enforce our Terms of Service.

4. Interview Audio & Transcripts

Because the Service powers live interviews, audio handling deserves a dedicated section.

  • Audio is captured locally on your device only while a session is active.
  • Audio is processed in-memory and is not written to long-term storage.
  • Transcripts generated from audio are retained for up to 24 hours to support session continuity, and are then automatically deleted.
  • We do not use your interview audio or transcripts to train machine learning models.
  • We do not sell or share your interview audio or transcripts with third parties for advertising or analytics.
  • You can delete generated transcripts at any time from your account dashboard.

6. How We Share Data

We do not sell your personal information. We share data only with:

  • Service providers acting as data processors under contract (cloud hosting, payment processing, email delivery, customer support, analytics).
  • AI inference providers used to generate real-time answers, under data processing agreements that prohibit training on your data.
  • Authorities when required by law, subpoena, or court order, and to protect rights, property, or safety.
  • Successors in the event of a merger, acquisition, or asset sale, with notice to you where required.

7. Cookies & Tracking Technologies

We use first-party and limited third-party cookies for:

  • Strictly necessary functions (authentication, session management, security).
  • Preferences (theme, language, saved settings).
  • Analytics (aggregated, privacy-respecting product usage).
  • Marketing attribution (where you have consented).

You can control cookies through your browser settings and through our cookie banner where required by law.

8. Data Retention

We retain personal data only as long as necessary for the purposes described in this Policy, to comply with legal obligations, to resolve disputes, and to enforce our agreements. Specifically:

  • Account data: while your account is active and for up to 24 months after closure.
  • Billing records: as long as required by tax and accounting laws (typically 7 years).
  • Interview transcripts: up to 24 hours, then automatically deleted.
  • Interview audio: not retained.
  • Support messages: up to 24 months for quality and training.

9. Security

We use industry standard technical and organizational measures to protect personal data, including TLS encryption in transit, encryption at rest for stored data, role-based access controls, hardened cloud infrastructure, regular security reviews, and least-privilege principles for employees. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

10. Your Rights (GDPR, CCPA, CPRA)

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your personal data, subject to legal retention requirements.
  • Restrict or object to certain processing.
  • Receive a copy of your data in a portable format.
  • Withdraw consent at any time where processing is based on consent.
  • Opt out of the sale or sharing of personal information (we do not sell personal information).
  • Lodge a complaint with your local data protection authority.

11. International Data Transfers

InterviewOra operates globally. Your information may be transferred to, stored in, and processed in countries other than your country of residence, including the United States. Where required, we use Standard Contractual Clauses or other lawful transfer mechanisms approved by the European Commission and the UK Information Commissioner's Office.

12. Children's Privacy

The Service is not directed to children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

13. Third-Party Services

The Service may link to third-party websites or integrate with third-party tools (such as payment processors and meeting platforms). We are not responsible for the privacy practices of those third parties. We encourage you to review their policies before providing them with personal data.

14. Changes to This Policy

We may update this Policy from time to time. Material changes will be communicated by email or through the Service before they take effect. The "Last updated" date at the top reflects the most recent revision.
